ENROLLMENT AND FEES IN CLOUD SCHOOL INFORMATION SYSTEM (SIS)

Enrollment and fees in School Information System (SIS) of Ikonomikal Cloud Accounting ERP.

Workflow narrative steps as per above image:
1. Go to SIS Enrollment and Fees program
2. Click the Create icon or New Document Entry
4. Select the Course and Fees program to show the defaults
5. Check and correct the defaults
6. Click Save icon to automatically number the document

The objectives of the Enrollment And Fees document are:
1. To register the enrollment details of a student
2. To calculate the fees on enrolled course and subjects
3. To serve as supporting document for payment

The Pages of Enrollment and Fees are:
1. General
2. Personal Information
3. Subject Fees
4. Miscellaneous Fees
5. Fees Summary
6. Payment Terms
7. Currency

Details of Pages

1. General page
The General page shall contain the following:
1. Code - automatically shows upon saving
2. For Branch - select the branch or it comes as user default
3. Transaction Type - select Enrollment or Admission or Other Fees
4. School Year - automatically comes
5. New Student - Yes or No
6. Student ID - to select the registered ID for old student
7. Legal name - for old student the name shows automatically upon entering the Student ID while for new student the complete name must be entered
8. Course and Fees - select, then description will automatically show in the description box. Default Subjects and Miscellaneous fees of the course will also automatically appear in the succeeding pages





2. Personal Information
The Personal Information page contains the following:
Below data will show automatically for old student upon entering the ID number in the General page. For new student the empty boxes below shall be filled.
A. Biometrics
     1. Birth Date
     2. Current Age - automatically comes upon entering Birth Date
     3. Gender - male or female
     4. Child number - number of enrolled child by the same guardian or parent.
              The importance of enrolled child number is for getting the discount
B. Contact Information
     1. Telephone
     2. Mobile
     3. Email Address



3. Subject Fees
The Subject Fees page contains the following:
1. Total Unit/s - automatically shows
2. Tuition w/ Tax - automatically shows
3. Plus (+) sign to add subject/s
4. Minus (-) sign to delete subject/s
5. Select All sign purpose is to delete the selection
6. Columns:
     6.1. Subject
     6.2. Description
     6.3. Unit/s
     6.4. U/P - Unit Price
     6.5. Total
     6.6. Tax
     6.7. Total w/ Tax

The content automatically shows upon entering the Course fees in the General page. The content is for verification if correct, if not then modify accordingly either select appropriate subject or delete unnecessary subject.

4. Miscellaneous Fees
The Miscellaneous Fees page contains the following:
1. Total Fees w/ Tax - automatically shows
2. Columns - default automatically shows
     2.1. Fee 
     2.2. Description
     2.3. Unit/s 
     2.4. U/P  - Unit Price
     2.5. Total
     2.6. Tax
     2.7. Total w/ Tax

The content automatically shows upon entering the Course fees in the General page. The content is for verification if correct, if not then modify accordingly either select appropriate fee or delete unwanted fee.

5. Fees Summary
The Fee Summary page contains and show automatically the following based on the Subject Fees and Miscellaneous pages:
1. Tuition Total 
2. Tuition Tax
3. Fees Total
4. Fees Tax
5. Grand Total



6. Payment Terms
The Payment Terms page contains and automatically shows the following :
1. Payment Terms - from Student Registration default
2. Columns - automatically spread the dues as per payment terms
     2.1. Due Date
     2.2. Amount



7. Currency
The Currency page contains and automatically shows the following :
Functional Conversion
1. Currency - the source currency either local or foreign
2. Rate Date
3. Rate Type
4. Rate Control
5. Rate Amount

The information as on date is from the Currency Setup program in the Treasury Modules of Ikonomikal. The Rate Amount is changeable.



Printing Enrollment Document

1. Click printer icon
2. Select SIS Enrollment And Fees
3. Click printer icon
4. Click X when done

S1: REPORTS OF CLOUD SCHOOL INFORMATION SYSTEM (SIS)

The sources of reports from Ikonomikal Cloud Accounting ERP are group into three (3):
1. Reports from the master file, document and transaction
2. Reports from the Business Intelligence dashboard and emails
3. Reports from the Analysis Modules enumerated below specifically for the School Information System (SIS)


School Information System is coming from Analysis Modules of Ikonomikal Cloud Accounting ERP as shown in the image below.




The Analysis Modules for School Information System (SIS) is initially having the following group of reports:

     1. Student Accounts
     2. Admissions
     3. Grading
     4. Attendance

PLEASE TAKE NOTE THAT THERE WILL BE MORE REPORTS INCLUSIVE OF GOVERNMENT EDUCATION DEPT. REPORTORIAL REQUIREMENTS.

This is inline with the objective of "Let the Teachers Teach" releasing them from huge clerical jobs at the same time complying with Management and the Education Dept. requirements.


1. Student Accounts

There are two reports in the SIS Student Accounts as shown on below image:

How to print the SIS Periodic Collections report
1. Select the Report SIS Periodic Collections
2. Select HQ as header if only 1 company in the database, otherwise choose
3. Make a choice or select
     a. From Student to Student - one or in a range
     b. From Guardian to Guardian - one guardian may have one student or
              more, or use range of guardians
     c. From Branch to Branch - one or in range
     d. Cut-Off By - Effective Date as shown above 
     e. Cut-Off By - Period as shown below


    f. Click the print icon to display or the arrow down to download
   g. Click the icon x on the right top corner to close 


1.2. Student SOA (Statement of Account)

There are 2 reports on the SIS Student SOA (Statement of Account) as shown on the image below.
     1.2.1. SIS Student SOA Open Item - only unpaid portion of and invoice/s
     1.2.2. SIS Student SOA Balance Forwarded - design is similar to bank 
               statement. There are beginning and ending balances, debit and
               credit amounts.



How to print the SIS Student SOA report
1. Select the Report SIS Student SOA Open Item or SIS Student SOA 
                Balance Forward
2. Select HQ as header if only 1 company in the database, otherwise choose
3. Make a choice or select
     a. From Student to Student - one or in a range
     b. From Guardian to Guardian - one guardian may have one student or
              more, or use range of guardians
     c. From Branch to Branch - one or in range
     d. Cut-Off By - Effective Date as shown above
     e. Show Unassigned - Yes or No 


     f. Cut-Off By - Period as shown below



     g. Click the print icon to display or the arrow down to download
     h. Click the icon x on the right top corner to close

     d. From Semester To Semester
     e. Click the print icon to display or the arrow down to download
     f. Click the icon x on the right top corner to close

There is only 1 (one) grading report at present

    Grade Labels (Optional)
     e. Show Attendance in Hours? Yes or No
     f. Convert only the Overall Grade? Yes or No
     g. For Academics - select the type of label to use
     h. For Activities - select the type of label to use
     i. For Traits (Character) - select the type  of label to use 
     j. Click the print icon to display or the arrow down to download
     k. Click the icon x on the right top corner to close 


4. Attendance
